End-to-End Operations Platform for an NDT & Non-Destructive Testing Firm

Situation

An NDT firm executing thousands of inspection jobs per year was managing every operational area with disconnected tools: work orders in Excel, quotations in email threads, personnel certificates scattered across folders, vehicle maintenance tracked on paper. Opening a new project meant hours of research to determine which technician held the right NDT certification, which equipment was available, or when a vehicle was due for service. Milestone billing was error-prone and time-consuming due to manual calculations spread across multiple communication channels.

Solution

We built a custom management platform covering the firm's entire operation:

• Quotation & milestone billing module: Project-level quotation preparation with line-item consistency checks and automatic milestone calculation based on completed work items
• Personnel certificate tracking: ISO/NDT certificate expiry dates are monitored; responsible managers receive automated alerts as deadlines approach
• Equipment shipment & inventory: Real-time visibility into which equipment is at which job site; low-stock alerts are triggered when warehouse inventory drops below critical levels
• Fleet management: Maintenance schedules, roadworthiness inspections, insurance renewals and tyre changes are tracked from a single dashboard; overdue tasks are surfaced automatically
• QMS & document management: Version control and approval workflows for quality documents are handled entirely within the system
• Electronic signature integration: Quotations and milestone claims are digitally signed by authorised personnel, eliminating paper-based processes
• Role-based access control (RBAC): From field technicians to senior management, each user sees only the data and actions relevant to their role

Outcome

• Opening a work order and assigning personnel takes minutes; certification eligibility is visible instantly
• Certificate expiry risk is eliminated — the notification system ensures renewals are initiated on time
• Milestone billing moved from manual spreadsheet calculations to a system-driven approval workflow
