Multi-tenant cloud management platform for law firms
A multi-tenant SaaS unifying case, enforcement and advisory file tracking, document management, client accounts and e-invoice billing in a single cloud platform.
Situation
Law firms of varying sizes were tracking cases and enforcement files in Excel or paper planners, risking missed hearing dates, and collecting client expenses manually. Document management was scattered across local drives and personal email inboxes. When Turkey's mandatory e-SMM (Electronic Freelance Receipt) regulation extended to lawyers, firms were reaching for yet another separate tool. There was a clear need to bring all these workflows into a single browser-accessible platform — without each firm needing to install or maintain their own server.
Solution
We built a multi-tenant cloud platform where each law firm operates in its own fully isolated environment:
- Unified file model: Cases, enforcement files and advisory matters are managed in a single data model; each file can have records, decisions, appeals, hearings, tasks and expenses attached; cross-file relationships can be mapped
- Hearing and calendar management: All hearings, inspections and meetings are recorded in the system calendar; e-mail and in-app notifications are sent ahead of critical dates
- Client and contact directory: People and organisation records are held in one centralised place, linked to all related files; the full communication history is accessible per file
- Document management: Petitions, decision texts and attachments are stored securely in MinIO object storage; an in-app text editor allows Word-style document production without leaving the platform
- Finance module: Client current accounts, per-file expense tracking and cash management; an e-SMM (Electronic Freelance Receipt) integration automates the billing workflow to meet the statutory obligation
- Multi-tenant isolation: Each firm's data lives in its own database schema; one firm's data is completely invisible to another
- Role-based access: Separate views and permission sets are configurable for associate attorneys, case attorneys, secretaries and management
Outcome
- The risk of missing a hearing date was minimised through the notification system
- Workflows previously spread across multiple tools were consolidated into one platform, accelerating coordination within the firm
- Client expenses and receipts are tracked in real time, making financial dashboards immediately visible to management
- The e-SMM integration satisfies the statutory billing requirement without needing a separate tool
- Independent isolated environments per firm allow the platform to scale from a small practice to a large law firm
