How to Choose NDT Management Software: 7 Key Criteria
Choosing the right management software for a non-destructive testing (NDT) firm is fundamentally different from selecting a general-purpose ERP. The NDT industry has its own specific requirements: dozens of report types, accreditation obligations, personnel certification tracking, and equipment calibration cycles. Trying to adapt a generic system to NDT workflows wastes both time and money.
So what criteria should guide your decision?
1. Industry-specific modules vs. generic ERP
Many firms start with a general ERP or CRM, then discover it can't handle NDT workflows. The difference is this: general software is built around a "customer → order → invoice" chain. An NDT firm needs "customer → quote → work order → field team → field report → office approval → progress billing → invoice."

2. Supported NDT report types
When evaluating NDT software, ask for a list of supported report types. UT (ultrasonic), MT (magnetic particle), PT (penetrant), RT (radiographic), ET (eddy current), and VT (visual inspection) are the most common. You may also need hardness, PMI, ferrite measurement reports, and destructive testing (DT) reports.
Does the software generate these report types through configuration, or does each new type require custom development? The first means flexibility; the second means vendor dependency.
3. Accreditation compliance (17020, 17024, 17025)
If you're selecting software for an accredited inspection body (ISO/IEC 17020) or a personnel certification body (ISO/IEC 17024), features that support accreditation requirements are critical:
- Traceable archiving of all documents and records
- Personnel certificate validity and renewal tracking
- Internal audit and corrective action logging
When an accreditation auditor says "show me that record," you need to get there in a few clicks.
4. Personnel certification tracking
In an NDT firm, it matters exactly which method a technician is qualified in, at which level (Level I–III), and through which certification body. Untracked certificate expiry dates create both operational risk and loss of client confidence.
The software should automatically track personnel certifications, alert you before expiry, and link certificate documents to the technician's profile.
5. Equipment and calibration management
Missed calibration dates on NDT equipment compromise both measurement reliability and accreditation scope. Good NDT software should clearly display each instrument's calibration history, certificates, and next calibration due date — and alert you in advance.
